Senior Administrative Executive, Operations (High Jewellery)

About the Job

The Senior Administrative Executive is responsible for overseeing the administrative operations of the High Jewellery Team, facilitating smooth day-to-day operations. This role involves providing administrative assistance, coordinating projects, facilitating team communication, managing budgets, organizing Jewellery events. Strong administrative and organizational skills, attention to detail, and the ability to work independently are essential for success in this role. 

Key Responsibilities

General Operations:
• Administrative Support: Assist senior executives with tasks such as scheduling meetings, making travel arrangements, and managing administrative functions within the High Jewellery Team.
• Project Support: Provide administrative support for various projects, coordinating project deliverables, and monitoring budget control.
• Team Coordination: Act as a point of contact and liaison between different teams within the Operations team and high jewellery, facilitating effective communication and collaboration.
• Budget and Expense Management: Assist in budget planning and monitor expenses to ensure cost-effective practices and adherence to financial guidelines.
• Event Coordination: Organize and coordinate design-related events, meetings, and workshops, including logistics, scheduling, and resource coordination. 
• Participate in managing office renovation processes and assist in FF&E sourcing.
• Coordinate office activities to ensure efficiency and compliance with company policies.
• Ad hoc Support: Provide assistance with miscellaneous tasks and handle any additional duties as needed.
Departmental IT Projects:
• Identify and understand the requirements for departmental IT projects. Work closely with the IT business partner to ensure timely and satisfactory project delivery according to the agreed plan.
• Collaborate with IT and stakeholders on enhancing the product catalogue. This includes system and content upgrades, as well as overseeing the product upload process to keep the catalogue available for client viewing at all times.
Salon and Event Operations:
• Provide administrative support to ensure smooth operations at the VIP Salon. 
• Provide full range admin support on sales operations including managing POS system, product transfer, prepare reports and assist in sales activities when required.
• Assist in event operations including back-of-the-house setup, security and logistical arrangement, event materials preparations as well as cashier management.
Staff-related Arrangements:
Manage logistics for staff onboarding and offboarding as communicated within the Group
.
• Organize and plan staff engagement activities in alignment with CTFJ practices and policies.

Requirements

• Bachelor's degree holder in any discipline.
• Proven experience in administrative roles and work experience in retail management is an advantage. 
• Self-motivated, multi-task and able to work independently. 
• Proactive and solutions driven, with the ability to thrive in a fast-paced environment.
• A good team player with positive mind-set and the ability to deliver efficient working outcomes and overcome challenges under pressure.
• Proficiency in Microsoft Office (Word, Excel and PowerPoint) or other related applications.
• Excellent command in written and spoken English, Cantonese and Mandarin.
